Administrative Assistant – Full-Time
The Kingston Humane Society is seeking a flexible and energetic individual for the position of Administrative Assistant, reporting to the Operation Manager. This is a permanent full-time position. Duties include data entry and database management for donors, animal records, and collection of data for various reports. He or she will assist the Financial Supervisor with shelter finances including invoicing, accounts receivable, daily ledgers and deposits. Other duties include, administrative and office support, assisting in projects, securing quotes, answering telephones and providing customer service as required. Support the mission and values of the organization in all dealing with staff, volunteers, sponsors, board members and the public.
Essential Qualifications: Excellent verbal and written communication skills, databases including data entry, reporting and merging data, advanced MS-Office skills (particularly Word, Excel and Outlook). Knowledge and experience of office procedures including emailing, filing, faxing, and have strong organizational skills. Must have the ability to work as part of the team as well as effectively work independently, must be able to professionally handle incoming calls from donors and other supporters, and extensive interaction with staff and the public. Incumbent must have access to a vehicle and a valid driver’s license without restrictions. The job requires occasional lifting of approximately 30-50 lbs. The work environment is an animal shelter which may have animal and dust allergens.
Asset Qualifications: Experience with various database. Experience in the animal welfare industry. Experience working with an organization managed by a Board of Directors. The incumbent will be available to work flexible hours which may include occasional evenings and weekends.
Rate of pay to commensurate with experience.
